Inviting a User to Your Workspace

Before you begin

  • You must be a workspace admin. The invite controls only appear for admins.
  • You need the person's email address. An invitation only works for the exact address it was created for.
  • If your workspace uses directory sync (SCIM), invitations are disabled: members are added and removed by your identity provider, so add the person there instead.

Steps

1. Open the users page

From the main menu, go to Workspace, then Permissions, then the Users tab.

2. Create the invitation

Click Invite at the top of the users list. Enter the person's email address and choose their workspace role:

Click Create invite.

Creating the invitation gives you a link. No email is sent — copy the link and share it with the person however you normally reach them: email, chat, or anything else.

The link is shown once, immediately after you create it. If you lose it, revoke the invitation and create a new one. Creating a second invitation for the same address replaces the first one, so the earlier link stops working.

What the invited person does

  1. They open the link you sent them.
  2. The invitation page shows who invited them, the workspace name, and the role, with a Sign in to accept button. After signing in they land back on the invitation. If they do not have an account yet, they can sign up from the sign-in page and still land back on the invitation.
  3. They must be signed in with the address the invitation was sent to. A forwarded link does not work for anyone else — the invitation is checked against the signed-in account's email.
  4. They click Join workspace. The workspace becomes their active workspace right away.

Managing pending invitations

Invitations that have not been used yet are listed under Pending invitations at the bottom of the users list, with the invited address, the role, and the expiry date.

  • Invitations expire 14 days after they are created.
  • Click the trash icon next to an invitation to revoke it. A revoked link stops working immediately.
  • Once someone accepts, their invitation leaves the pending list and they appear in the users list.

Troubleshooting

"... is already a member of this workspace" — the address already belongs to an active member. Look them up in the users list instead.

The invited person sees "This invitation was sent to ..." — they are signed in with a different account. They need to sign out and sign back in with the invited address, or you can create a new invitation for the address they actually use.

The invited person sees "This invitation has expired" — create a new invitation for them.
